Midwest Transplant Center Adopts Time Study and Sees Immediate 20-point Jump in Compliance

In Q1 of this year, an Academic Adult Transplant Hospital in the Midwest began implementing Time Study to move away from its time-consuming manual process. It may take years to deploy some software systems and see the impact, but that was not the case for this organization. Four months after deploying Time Study, their submission rate increased by more than 20 percentage points.

The business operations lead, who administers time studies at the top 20 Transplant Center that performs more than 10,000 procedures per year, saw a rapid transformation. 

We are now at 96.4 percent completion since implementing the platform, and our lowest compliance rate has been 92.6 percent. They have also achieved a 100 percent completion rate within 30 days of the time period end date.

In addition, the transformation from a manual time study submission process to an automated, electronic platform dramatically reduced administrative time by 20 hours per month. 

Before I would have to manually enter everything into Excel, and at month-end, reach out to everyone who hadn’t submitted one, and start the compliance process to reporters and their managers to get compliance. The collection process usually lasted all Fiscal Year and was a constant process of updating leadership on all missing time studies for the entire year. Obviously, then this was not real-time, or we could not at least prove it was based on when the time studies were submitted.

The ease with which physicians can submit their time studies online has been popular since it eliminates a few onerous steps. Now, time studies are completed in one place, based on a designated time period, making it possible to pull monthly completion rates and send a compliance report out once a month. The organization also took the opportunity to add a new accountability model for the staff. 

This client concluded: “Time Study has been a huge improvement over where we were. We are just happy here.”
